Job Summary: CASE MANAGER ASSISTANT

The Case Manager Assistant functions within the guidance of a Case Manager (as assigned to by the CEO) and is responsible for facilitating the supportive service needs of Project ARRIBA’s participants and enrollment criteria of Project ARRIBA’s applicants. Responsibilities also include the maintenance of the intake and eligibility process, inputting applicant and participant data into FormStack and the ARRIBA Data Management System (ADMS), and other actions to assist the case management staff to determine and validate program eligibility and ensure the most expeditious processing possible.

The duties of this position include:

  • Bilingual, Spanish preferred.
  • Builds rapport with individuals inside and outside the organization.
  • Excellent interpersonal and communication skills.
  • Experience speaking to large groups and individuals.
  • Able to work in a highly collaborative and team-oriented environment.
  • Able to organize and prioritize work activities and operate in an autonomous manner Proficient knowledge of Project ARRIBA’s eligibility guidelines.
  • Scheduling weekly Vision, Initiative and Perseverance group counseling meetings. These meetings will serve to maintain participant/Case Manager contact and provide an opportunity for motivational/workplace skills training and/or problem solving.
  • Locating participant files for monitors, auditors, and staff members.
  • Reviews all client files for eligibility and regulatory compliance.
  • Providing detailed information on Project ARRIBA, its services and the individualized approach to training and financial assistance acting as a backup recruiter as assigned by the CEO.
  • Counseling applicants on available training opportunities.
  • When appropriate, referring the applicant to other agencies for services other than those provided by Project ARRIBA. All referrals are entered into the ADMS system and appropriate documents are routed to the appropriate agency.
  • Testing Administrator: TABE, SAGE, and other assessment batteries. Assisting in scanning TABE and SAGE test answer cards, printing appropriate reports for the staff, and transferring TABE scores into ADMS.
  • Performing other duties as assigned.

Reports to: President & CEO.

Hours: Full Time, Project ARRIBA facilitates a hybrid work environment.

Salary: Commensurate with experience plus paid benefits (Medical, Dental, Vision).

FLSA Status: Non Exempt.

MINIMUM QUALIFICATIONS: Associate degree or equivalent work experience in community-based organizations, business, public administration, or related field.

2 years + experience in the non-profit sector, customer service, public relations, customer / vendor relationship management, case management and/or workforce development.

Proficient in an Office 365 work environment, MS Access, and Apricot Database Systems (preferred) as well as proficient knowledge in social media platforms.
